She identifies herself by your company name, asks what loads are available on the lane, and requests the broker’s rate before revealing any number. Each call is recorded, transcribed, and stored in your TMS dashboard for review. Average call duration is 90 seconds. Aida can make up to 200 calls per hour across all lanes simultaneously.

Rate Negotiation
You set three numbers per lane: floor rate (minimum acceptable), target rate (what you want), and max rate (your ideal outcome). Aida always asks the broker for their rate first and never reveals your floor. She negotiates upward from the broker’s offer using $50 increments, pushing toward your target. If the broker’s best offer is below your floor, Aida politely declines and moves to the next broker. No exceptions, no emotional decisions.

Human dispatchers quote round numbers. So does Aida. She never says “$2,137” — she says “$2,150.” All counter-offers move in $50 increments: $2,200, $2,250, $2,300. This makes Aida sound natural on the phone and prevents brokers from suspecting they are speaking with AI. Brokers respond better to round-number negotiations because it mirrors how experienced dispatchers actually work.

Email Follow-up
After every call — whether a load is booked or not — Aida sends a follow-up email to the broker. For booked loads, the email includes pickup/delivery details, truck information, and a rate confirmation request. For unbooked calls, the email thanks the broker and expresses interest in future loads on that lane. This keeps your carrier name in front of brokers and builds long-term relationships without any manual effort.

When a broker doesn’t answer, Aida leaves a professional voicemail. The message includes your company name, available truck type, current location, and a note that follow-up details are being emailed. Voicemails are kept under 25 seconds. Aida tracks which brokers received voicemails and schedules a callback attempt 45 minutes later. Brokers who don’t respond after three attempts are deprioritized for that lane.

You Set Your Rates
Open your carrier dashboard and set three numbers for each lane you run. Example: Chicago to Atlanta — floor rate $2,200, target rate $2,800, max rate $3,200. The floor is the absolute minimum you will accept. The target is what Aida aims for. The max is what she’ll ask for if the broker seems flexible. You can update these numbers anytime and they take effect on the next call.

Aida Calls Brokers
Aida pulls broker contacts from two sources: your personal broker contact list (uploaded via CSV or entered manually) and your DAT load board pipeline (if connected). She prioritizes brokers you’ve worked with before, then moves to new contacts. Calls go out in parallel — Aida can dial multiple brokers simultaneously across different lanes without any scheduling conflicts.

Asks Broker’s Rate First
This is critical. Aida never leads with your number. She asks: “What are you paying on Chicago to Atlanta today?” The broker gives their rate. If the broker says $2,600, Aida now knows where to start the negotiation. If the broker says $3,100, Aida might accept immediately since it exceeds your target. Never revealing your floor is the single most important rule in rate negotiation.

Negotiates in $50 Steps
If the broker offers $2,500 and your target is $2,800, Aida counters at $2,900 (slightly above target). Broker comes back at $2,600. Aida counters at $2,800. Broker says $2,700. Aida says $2,750. Each step is a round $50 increment. This back-and-forth sounds natural because it mirrors how experienced dispatchers negotiate. Aida won’t go below your floor even if the broker pressures.

Books Load & Requests Rate Con
Once a rate is agreed upon that meets or exceeds your floor, Aida confirms the load details: pickup location, delivery location, dates, weight, commodity. She requests the rate confirmation document from the broker and provides your carrier email for delivery. The load is automatically created in your TMS dashboard with all details populated. Status is set to “Booked — Awaiting Rate Con.”

Follow-up & Driver Notification
After booking, Aida sends the broker a follow-up email with a summary of the agreed terms. Simultaneously, the assigned driver receives a push notification and SMS with pickup details, address, and appointment time. The load appears in the driver’s mobile app with turn-by-turn navigation to the shipper. Your TMS dashboard updates in real time so you always know what’s booked, in transit, and delivered.
